Job Title: Part-Time Executive Assistant with Automation Experience (Remote)

Location: Remote (LATAM preferred)

Schedule: 4 hours per day (Part-Time) | Availability during business hours

Salary: $900–$1100 USD/month (based on experience)


About the Role:

We’re looking for a detail-oriented, Part-Time Executive Assistant with Automation Experience  who thrives in dynamic environments, loves building systems, and enjoys wearing multiple hats. You’ll be working directly with a small, fast-moving team to bring order to complexity, manage operational tasks, and support project and marketing execution.

Key Responsibilities:

  • Client Support & Billing
    • Process client payments
    • Create and send one-off invoices as needed
  • Project & Task Management 
    • Set up and manage a project management suite (e.g., ClickUp) from scratch
    • Organize ongoing projects into a centralized, trackable system
  • Tech & Automation
    • Create and manage automations using tools like n8n & Make.
    • Recommend systems or tools to streamline processes 
    • Join meetings, take notes, and automate action item follow-ups (e.g., Fathom + ClickUp)
  • Marketing Support
    • Upload blogs and manage email campaigns in Klaviyo 
    • Experience editing landing pages using drag and drop builders like Elementor.
    • Execute other marketing tasks as needed
  • Operations & Documentation
    • Document SOPs and support ongoing process updates
    • Manage inbox follow-ups and task tracking

What We’re Looking For:

    Must have experience with automation tools like n8n, Zapier, or Make.com
  • Hands-on experience with popular drag-and-drop website builders like Elementor, Thrive Architect, Divi, and other no-code website builders.
  • Background in digital operations, marketing, or executive support
  • Medium to high technical aptitude you’re confident learning and using new tools
  • Hands-on experience with automation platforms, CRMs, and project management tools
  • Strong organizational and written communication skills
  • Meticulous attention to detail and follow-through
  • Proactive, curious, and solution-oriented mindset

Bonus Points If You Have:

  • Experience setting up and managing ClickUp
  • Experience with Fathom, Klaviyo, or Thrive Architect

Success Milestones:

  • 60 Days: You’ve built a solid understanding of your role and our operations, and are independently handling assigned tasks.
  • 90 Days: You’re executing daily responsibilities with confidence and expanding into new areas as needed.
  • 1 Year: You’re fully integrated into the team and independently managing your responsibilities while helping improve systems and processes.
