About the Firm

A boutique Miami-based law firm practicing family law and personal injury. Led by a solo practitioner with a strong trial background, the firm serves both English- and Spanish-speaking clients throughout South Florida. The firm is entering a growth phase - actively investing in paid lead generation through Google Ads and social media - and is building out its internal operations to match that growth.

The Opportunity

This is the firm's first dedicated intake hire, and it's a foundational role. The attorney currently handles two high-volume, time-sensitive practice areas simultaneously - and without a structured intake system in place, leads are being followed up on too slowly or falling through the cracks entirely.

The right person will come in, help establish the intake workflow from the ground up, own the CRM, and serve as the first voice a potential client hears. This is a direct path to a long-term role as the firm scales - the goal is to grow the intake team from one to two or three people as the operation matures.

What You'll Do

  • Respond to inbound leads immediately upon receipt - speed to first contact is everything in personal injury and family law
  • Manage all lead tracking and follow-up inside the firm's CRM (GoHighLevel, HubSpot, or a law-specific platform - to be finalized with the right candidate)
  • Qualify incoming leads across both practice areas, gather key intake information, and move prospects through the pipeline toward a consultation with the attorney
  • Execute follow-up sequences - calls, emails, and texts - to keep leads warm and engaged until they book a consultation
  • Maintain clean, up-to-date records for every lead: status, notes, next action, and outcome
  • Coordinate scheduling between prospective clients and the attorney
  • Communicate professionally and empathetically - many callers are going through difficult personal circumstances (divorce, injury, domestic situations)
  • Support the office manager in building and refining the intake system as the firm formalizes its processes

What We're Looking For

We are prioritizing experience and reliability over cost. The ideal candidate:

  • Has worked in a lead generation, intake, or CRM management role - law firm experience is a strong plus but not required
  • Is genuinely comfortable in a high-touch, fast-moving environment where response time directly impacts revenue
  • Has strong spoken and written English - C1 level or above - and can hold a natural, professional conversation with U.S.-based clients
  • Is bilingual (English/Spanish) - a significant advantage given the firm's Spanish-speaking client base in Miami
  • Is CRM-literate and adaptable - the firm is flexible on the specific platform and will align on tooling with the right hire
  • Is organized, proactive, and doesn't need a fully built system to get started - you'll help build it
  • Has a warm, empathetic communication style that puts people at ease during emotionally sensitive situations
  • Is looking for a long-term position, not a short-term contract - the firm wants to build with this person

What This Role Is Not

  • This is not a paralegal role - you will not be doing legal research, drafting filings, or providing legal guidance
  • This is not a scripted appointment-setter role - you need to engage with people, handle questions with confidence, and keep leads from going cold
  • This is not a fit for someone who needs a fully built system handed to them on day one - there will be a build phase

Practice Area Context - What You Need to Know

You don't need to be a lawyer, but you do need to understand the nature of the two pipelines you'll be managing:

  • Personal Injury: Leads are time-sensitive and highly competitive. The person who called three other firms first is still deciding. Speed, confidence, and clear communication about next steps is what converts them.
  • Family Law: Leads are emotionally charged. Divorce, custody, and domestic situations require patience, warmth, and discretion. Your tone matters as much as your words.

Compensation

  • Hourly rate: $7.50 – $10.00/hour depending on experience
  • Full-time engagement
