About the Role
We are hiring a Property Management Operations Specialist to support a growing U.S.-based property management company managing ~300–350 units.
This is a high-impact role focused on AppFolio operations, maintenance coordination, leasing support, and backend process execution. You will work closely with the internal team to reduce operational backlog, improve response times, and keep day-to-day property management workflows running smoothly.
This is not a basic admin role — we’re looking for someone who understands property management workflows and can operate with minimal oversight.
What You’ll Be Responsible For
AppFolio & Operations Support
- Manage day-to-day tasks within AppFolio (work orders, tenant/owner communication, updates)
- Maintain accurate records across properties, tenants, and vendors
- Support general backend cleanup and operational organization
Maintenance Coordination
- Review and respond to maintenance requests
- Create, update, and close work orders in AppFolio
- Coordinate with vendors for updates, scheduling, and follow-ups
- Help ensure minimal backlog of maintenance issues
Leasing Support
- Assist with leasing workflows and application processing
- Provide coverage when leasing agents are unavailable (showings, follow-ups, coordination)
- Help move prospects through the leasing funnel efficiently
Accounting & Administrative Support
- Assist with basic accounting tasks (transaction entry, categorization)
- Support internal team with financial data organization (via AppFolio / bank sync tools like PLAID)
- Help maintain clean and accurate records across accounts
General Operations Support
- Assist with backend process improvements and task management
- Help the team stay organized and reduce operational bottlenecks
- Take ownership of recurring operational tasks and workflows
What We’re Looking For
- 2+ years of experience in property management or real estate operations
- Strong hands-on experience with AppFolio (required)
- Understanding of:
- Maintenance workflows
- Leasing processes
- Property management operations
- Experience supporting multiple properties (100+ units preferred)
- Strong organizational and follow-up skills
- Ability to work independently and take ownership of tasks
- Comfortable working in a fast-paced, high-volume environment
- Excellent English communication (written and verbal)
Nice to Have
- Experience with property management accounting basics
- Familiarity with tools like PLAID, QuickBooks, or similar
- Experience working with U.S.-based property management teams
