Role Overview
We are seeking a highly skilled Admin / Tenant Relations Specialist who has direct, hands-on experience with Rent Manager and can operate confidently from Day 1. While full training on the company’s SOPs, workflows, and portfolio structure will be provided, you must already know Rent Manager to ensure immediate productivity and seamless integration into daily operations.
This is essential because the role is heavily tied to Rent Manager tasks such as notices, ledger reviews, ticket workflows, and document handling — all of which must be executed without a learning curve.
Key Responsibilities
Rent Manager Operations (Experience Required – Training Provided for SOPs)
You must already know how to use Rent Manager, and training will cover how our client specifically uses it.Daily tasks include:
- Creating, updating, and managing tenant, owner, and property records
- Uploading invoices, categorizing expenses, and maintaining clean documentation
- Generating and sending tenant notices (late notices, lease renewals, violations, etc.)
- Processing payments, reviewing ledgers, and resolving accounting discrepancies
- Managing maintenance workflows: tickets, work orders, vendor notes, updates, and completion tracking
- Running reports and delivering updates to leadership
- Supporting move-in/move-out workflows, deposits, and compliance documentation
Tenant Relations & Communication
- Serve as the first point of contact for tenant inquiries
- Provide clear updates regarding maintenance, billing, notices, and account status
- Assist tenants with portal usage (payments, communication, documentation)
- Handle escalations with professionalism and provide context for management
Administrative Support
- Manage inboxes, phone messages, and internal communication channels
- Follow established SOPs with precision
- Support leasing, maintenance, and accounting teams with cross-functional coordination
- Assist with utility setup, inspection coordination, and vendor outreach
Required Skills & Experience
- Mandatory: Hands-on Rent Manager experience
- Experience in property management operations or tenant relations (2–4 years preferred)
- Strong English communication (written and spoken, C1 level)
- Highly organized with strong follow-through and attention to detail
- Ability to manage large workloads and high-volume environments
- Comfortable with cloud tools and administrative systems
Preferred Qualifications
- Experience supporting property portfolios in Florida, Arizona, or similar markets
- Knowledge of U.S. leasing workflows and standard notice procedures
- Familiarity with maintenance workflows and vendor coordination
