Role Overview
The Bilingual Front Desk Coordinator serves as the operational backbone of the practice.
This is not a task-only role. This position requires ownership, attention to detail, emotional regulation, and the ability to operate independently.
You will protect provider productivity, stabilize workflows, ensure accurate insurance verification, reduce billing errors, and deliver HIPAA-compliant communication across all patient and referral touchpoints.
Spanish-English fluency is strongly preferred due to our patient population.
Core Responsibilities (Must Own From Day One)
1. Professional Communication (Central Hub)

Serve as the primary communication point for patients, insurance representatives, referral partners, and internal staff

Maintain HIPAA compliance at all times

Provide same-day responses whenever possible

Ensure clear, consistent messaging

Prevent communication breakdowns or complaints
2. Scheduling & Workflow Control

Maintain accurate provider schedules

Manage cancellations, reschedules, and no-show reduction

Ensure intakes are complete prior to appointments

Identify and prevent workflow bottlenecks
-
Protect provider productivity through proactive coordination
3. Insurance Eligibility & Revenue Protection

Verify insurance coverage before appointments

Confirm authorization requirements
-
Accurately document benefits in ICANotes (EHR)

Track prior authorizations
-
Identify denial patterns and reduce billing errors

Communicate clearly with billing partners

Required Qualifications

Experience in healthcare administration or medical front desk

Insurance eligibility verification experience

Familiarity with prior authorizations
