About the Role
We are a busy and growing personal injury law firm seeking an experienced and detail-oriented Personal Injury Case Manager to join our remote team. You will be the backbone of our client experience - managing a caseload of 60 to 80 active files, serving as the primary point of contact between clients and attorneys, and helping drive cases forward from intake to resolution. If you thrive in a fast-paced legal environment and enjoy being the person who keeps everything organized and moving, we want to hear from you.
Key Responsibilities
• Manage an active caseload of 60–80 personal injury files simultaneously, ensuring no detail falls through the cracks.
• Serve as the first line of communication between clients and attorneys - answer questions, provide case updates, and resolve issues before escalating as needed.
• Act as a liaison between the firm and insurance adjusters, handling negotiations, follow-ups, and documentation of all correspondence.
• Prepare and manage all case-related paperwork including medical records requests, demand letters, settlement documents, and correspondence.
• Track case milestones and deadlines to ensure cases are progressing on schedule and attorneys are kept informed.
• Escalate complex legal issues or client concerns to the appropriate attorney in a timely manner.
• Maintain accurate and up-to-date records in the firm's case management system (Clio preferred).
• Coordinate with medical providers, experts, and other third parties as required by active cases.
What We're Looking For
• Prior experience in a personal injury law firm is preferred - but candidates with experience in other areas of law (e.g., immigration, family law, civil litigation) with transferable skills will also be considered.
• Strong communication skills - written and verbal - with the ability to manage client relationships professionally and empathetically.
• Ability to handle a high-volume caseload and stay organized under pressure.
• Experience with legal case management software; Clio experience is a plus but not required - we're willing to train the right candidate.
• Comfortable corresponding with insurance adjusters and negotiating on the firm's behalf.
• Detail-oriented, proactive, and able to work independently in a remote environment.
• Proficiency in standard office tools (email, Google Workspace or Microsoft Office).
• Bilingual (English/Spanish)
Nice to Have
• Experience with Clio (our current case management platform).
• Background specifically in personal injury litigation or insurance defense.
• Flexible team player who readily steps outside regular duties to support the team when necessary.
What This Role Is NOT
This is not a paralegal or attorney role. You will not be providing legal advice or drafting pleadings. Your focus is client communication, case organization, insurance correspondence, and keeping the firm running smoothly behind the scenes.
