About the Client

Our client is an Amazon Delivery Service Partner (DSP) operating a last-mile delivery business with approximately 80 team members, primarily drivers supported by a managerial team.

The company operates in a fast-paced, high-SLA environment where communication, accountability, and responsiveness are critical. As the business continues to grow, the CEO is seeking a high-level Executive Assistant to serve as a central communication and coordination hub.

This is a high-trust, high-impact role.


Role Overview

The Executive Assistant will serve as the CEO’s right hand, owning communication flow, calendar oversight, stakeholder coordination, and operational follow-through.

This is not a task-only position. The right candidate will operate proactively, solve problems independently, anticipate needs, and protect the CEO’s time and priorities.

Approximately 80% of communication will be directly with the CEO. The remaining 20% will involve coordination with managers, vendors, service providers, benefit providers, and business partners.


Core Responsibilities

1. Communication Management (Primary Function)

  • Own CEO inbox oversight and email triage
  • Draft and send responses on behalf of the CEO when appropriate
  • Escalate high-priority matters strategically
  • Communicate with managers, vendors, and business partners
  • Bridge communication between leadership and management
  • Follow up consistently on outstanding items and commitments

2. Calendar & Schedule Control

  • Maintain and optimize CEO calendar
  • Schedule meetings with Amazon representatives and partners
  • Coordinate appointments with vendors and service providers
  • Prevent scheduling conflicts and workflow bottlenecks
  • Ensure CEO is prepared and briefed for meetings

3. Follow-Up & Operational Accountability

  • Track required reports and deliverables
  • Follow up with key stakeholders when items are pending
  • Ensure deadlines are not missed
  • Maintain visibility on action items and next steps

4. Problem Solving & Decision Support

  • Present issues with proposed solutions and options
  • Reduce decision fatigue by structuring clear choices
  • Resolve minor operational matters independently
  • Operate confidently in a fast-moving environment

5. Personal Administrative Support

  • Book travel and coordinate logistics
  • Support family scheduling needs
  • Assist with registrations and event coordination
  • Handle occasional personal admin requests

60–90 Day Success Benchmarks

0–30 Days

  • Establish strong communication rhythm with CEO
  • Demonstrate responsiveness and reliability
  • Successfully manage inbox and calendar
  • Begin handling routine communication independently

30–60 Days

  • Anticipate needs without waiting for instruction
  • Present solutions instead of problems
  • Reduce administrative load significantly
  • Improve communication flow across stakeholders

60–90 Days

  • Fully own communication management
  • Protect CEO time and priorities
  • Operate independently with minimal oversight
  • Become a trusted operational extension of leadership

By Day 90, the CEO should experience noticeably reduced friction and increased operational clarity.


Required Qualifications (Non-Negotiable)

  • Strong character and high aptitude
  • Coachable, adaptable mindset
  • Excellent written and verbal communication skills
  • Ability to operate independently
  • Strong reliability and responsiveness during business hours
  • Comfortable working in a high-accountability environment
  • Willingness to operate outside comfort zone

Strongly Preferred

  • Experience supporting a CEO or founder
  • Experience in logistics, operations, or fast-paced environments
  • Experience coordinating multiple stakeholders
  • Bilingual English/Spanish
  • Prior exposure to high-growth businesses

Compensation

$9–$14 USD per hour depending on experience

Full-time commitment required (40 hours per week).
