About the Role

We're hiring on behalf of a high-volume, top-ranked real estate team (a top-3 team in their state by transaction volume, with $260M+ in closed transactions) for a Listing & Transaction Coordinator. This is a dedicated, full-time role supporting agents from the moment a listing is prepared through closing.

You'll own two connected pieces of the pipeline: getting listings live and accurate on the MLS, and keeping every under-contract deal moving through to close. You'll work closely with the team's Director of Operations and report into their transaction management systems daily.

What You'll Do

Listing Coordination

  • Receive listing details from agents via intake forms and prepare properties for MLS entry
  • Enter and manage MLS listings accurately and on schedule
  • Communicate directly with sellers on timelines, paperwork, and next steps
  • Track listing preparation deadlines and keep them visible on team calendars
  • Coordinate with the marketing side for promotional assets when needed (brokerage-provided marketing packages, occasional flyers for open houses)

Transaction Coordination (Contract to Close)

  • Manage the transaction file from executed contract through closing inside the team's transaction management platform and DotLoop for e-signatures
  • Push paperwork along and flag missing signatures or documents (auto-populated fields only, no manual data entry into contracts)
  • Schedule and confirm inspections, appraisals, and any local municipal inspections required to bring a property up to code
  • Track every key date and deadline across active files and proactively follow up to keep deals on schedule
  • Maintain clear, responsive communication with agents, sellers, and other parties throughout the transaction

What We're Looking For

  • Prior experience in real estate listing coordination and/or transaction coordination, real estate workflows and paperwork are specialized, so relevant experience is a strong plus
  • Comfortable learning state-specific paperwork and processes (training and reference materials provided; you won't be expected to know local forms on day one)
  • Highly responsive and reliable, this role requires consistent availability during U.S. business hours, with no extended unexplained downtime
  • Strong written communication skills in English
  • Detail-oriented and comfortable managing multiple active files and deadlines at once
  • Experience with transaction management platforms and/or CRMs (e.g., DotLoop, Follow Up Boss, or similar) is a plus
