About This Role
Virtual Wizards is a staffing agency that connects top talent from Latin America with property management companies across the United States. We are recruiting on behalf of one of our U.S.-based clients, a growing property management company with a mixed portfolio of single-family homes, condominiums, small apartment buildings, and commercial properties. They are looking for a reliable, detail-oriented professional to take ownership of their bookkeeping and day-to-day administrative operations.
The Role
This is a combined Bookkeeper & Operations Admin role, one position that covers both the financial and administrative backbone of a property management operation. Accounting is the core of this role: you will own reconciliations, owner reporting, distributions, and AP/AR. Administrative operations support rounds out the position and will grow as you settle in.

Key Responsibilities
Bookkeeping & Accounting
- • Manage accounts payable (AP) and accounts receivable (AR) across the full portfolio
- • Perform monthly bank reconciliations and ensure accuracy across all property accounts
- • Process owner distributions and ensure they go out by the 10th of each month
- • Prepare and send monthly financial reports to property owners
- • Assist with annual 1099 preparation for vendors and contractors
- • Support annual CAM (Common Area Maintenance) reconciliations for commercial properties
- • Maintain accurate financial records in Yardi Breeze
- • Coordinate with the company’s external CPA as needed
Operations & Administration
- • Manage the onboarding process for new property owners, including checklist completion and data entry into Yardi Breeze
- • Coordinate utility transfers (electric, water, gas) for newly onboarded properties
- • Set up utilities on autopay and ensure accurate account records
- • Collect and digitize lease agreements, rent rolls, and tenant information
- • Prepare and send Property Management Agreements (PMAs) to prospective clients
- • Prepare lease agreements using Yardi Breeze templates
- • Maintain and continuously build out Standard Operating Procedure (SOP) documentation, Loom videos, and workflow guides as you learn each process
- • Coordinate with vendors (cleaning crews, maintenance) for make-readies and property turnovers
- • Track and manage open maintenance tickets and ensure timely resolution
- • Join occasional client-facing video calls (e.g., monthly Google Meet with select owners) to review financials and property updates
What We’re Looking For
Required
- • Proven experience in bookkeeping, accounting, or property management administration
- • Proficiency in Yardi Breeze or similar property management software (AppFolio, Buildium, etc.)
- • Strong understanding of AP, AR, bank reconciliations, and financial reporting
- • Excellent organizational skills and an ability to manage multiple tasks simultaneously
- • Reliable internet connection and a quiet, professional remote work environment
- • Strong written and verbal English communication skills
- • Comfortable working independently and taking ownership of tasks with minimal supervision
Nice to Have
- • Experience with CAM reconciliations for commercial properties
- • Familiarity with California landlord-tenant law or property management regulations
- • Experience creating SOPs, Loom videos, or process documentation
- • Prior experience in a client-facing role
