About the Role

We are seeking a detail-oriented Virtual Property Management Assistant to support a growing residential portfolio across multiple states. This is a part-time, remote position starting at 20 hours per week, with the potential to grow as the portfolio expands.

The portfolio includes approximately 70 rental units across Iowa, Oklahoma, and a newly acquired 24-unit building in Knoxville, Tennessee. The ideal candidate has hands-on property management experience, communicates professionally in English, and can hit the ground running with minimal training.

Key Responsibilities

Day-to-Day Operations

  • Serve as the primary point of contact for tenant communication via the property management portal
  • Log and track maintenance requests; route work orders to the appropriate vendors or maintenance staff
  • Coordinate make-ready turnovers, scheduling cleaning crews, repair vendors, and unit inspections
  • Monitor unit availability and manage the leasing pipeline from listing to signed lease
  • Ensure all tenant accounts are set up in the portal for online rent payments

Leasing & Showings

  • Set up and manage self-guided showing software (Tenant Turner or ShowMojo), including lockbox code generation
  • Respond promptly to leasing inquiries and guide prospects through the application process
  • Prepare and send lease agreements for electronic signature

Vendor Coordination

  • Source and vet local vendors (maintenance, cleaning, landscaping) across target markets
  • Build and maintain a pre-vetted vendor list for each property location
  • Coordinate dispatch for non-recurring repairs and emergencies

Reporting & Accounting Support

  • Assist with invoice tracking and basic reconciliation within the property management system
  • Flag recurring issues, delinquencies, or maintenance trends to the owner
  • Keep organized records of all work orders, lease activity, and vendor communications

Required Qualifications

  • 1–2+ years of experience in property management or a related real estate support role
  • Strong written and spoken English communication skills
  • Experience with property management platforms such as AppFolio, Buildium, Property Meld, or similar
  • Comfortable working independently and managing multiple priorities remotely
  • Reliable internet connection and professional home office setup

Nice to Have

  • Familiarity with Tenant Turner or ShowMojo for self-guided showings
  • Experience with Door Loop or similar newer PM platforms
  • Prior experience sourcing vendors across multiple U.S. markets
  • Background in leasing coordination or tenant onboarding

Schedule & Compensation

This role starts at 10–15 hours per week, scheduled during U.S. business hours. Hours may flex week-to-week based on vacancies and turnovers. As the portfolio grows, there is a clear path to 20+ hours per week and potential full-time engagement.

Hourly Rate: $8–$12/hour depending on experience

Estimated Monthly Pay: ~$640-$960/month

  • Vacancies are listed, shown, and filled efficiently using automated tools
