Executive Assistant
Company: Virtual Wizards Location: Remote (Latin America-based candidates) Employment Type: Full-Time, Independent Contractor
About the Role
We're looking for a sharp, high-level Executive Assistant to support our client's Principal. This is not a task-taking role — it's a right-hand seat. The ideal candidate reads between the lines, understands priorities without needing everything spelled out twice, and takes ownership of the Principal's inbox, schedule, and day-to-day operations so he can stay focused on high-level decisions.
This person will effectively absorb and own the Principal's current workload, protect his time, and become the point of contact who keeps things moving — whether that's managing communications, coordinating with vendors and partners, or tracking projects through to completion.
Key Responsibilities
- Manage and triage the Principal's email inbox, flagging priorities and drafting responses on his behalf
- Own calendar management and scheduling, protecting time for high-value work
- Track and follow up on open items, projects, and communications so nothing falls through the cracks
- Coordinate with external partners, vendors, and stakeholders as a trusted point of contact
- Support budget tracking and light financial coordination
- Streamline recurring workflows and help build lightweight systems/processes where none exist
- Anticipate needs and act on them proactively — not a "yes person," but not someone who needs constant hand-holding either
- Take on additional responsibilities over time as trust and scope grow (potential path toward a Chief of Staff-level role)
What We're Looking For
- Strong prior experience as an Executive Assistant, Executive Operations professional, or similar right-hand role supporting leadership
- Proven track record managing sensitive information, competing priorities, and fast-paced environments
- Excellent written and verbal English communication
- Sharp judgment and independent thinking — someone who figures things out rather than waiting to be told
- Experience working with US-based (or international) clients/leadership is a plus
- Comfortable managing up and pushing back when needed, while still being a team player
- Tech-savvy and comfortable picking up new tools quickly
Property management experience is not required. The Principal is prioritizing someone who is sharp, high-level, and a strong communicator — the industry-specific knowledge can be trained.
Compensation
$1,800 - $2,400 per month, based on experience. Open to discussing growth and compensation increases tied to performance and expanding scope of responsibility.
Schedule
Full-time. Some flexibility for occasional weekend availability may be discussed based on business needs.
